As a key member of our team, you will be responsible for leading our records management function and ensuring that our records are managed in accordance with best practices and regulatory requirements.

Key Responsibilities
  • Develop and Implement Records Management Strategies

Develop and implement records management strategies and policies to ensure governance, protection, access, and appropriate sharing of records held by the department.

Compliance and Risk Management

Ensure compliance with legal and policy requirements, such as the Public Records Act (PRA) and Section 46 Code of Practice, and embed best practice in our records management policies.

Knowledge Management and Sharing

Lead the development of knowledge management and sharing strategies and policies to facilitate effective storage, access, retention, and handling of departmental information and records.

Records Lifecycle Management

Establish a lifecycle approach to the management of our records in line with legal obligations and business needs.

Retention Schedules and Disposition Reviews

Develop and maintain our retention schedule, ensuring it is consistently in line with requirements and subject to regular review and improvement.

Training and Capacity Building

Provide training on records management, knowledge management, and sharing to new starters and existing staff to ensure they have the necessary skills and knowledge to manage our records effectively.

Stakeholder Engagement

Engage with stakeholders to ensure records are created or acquired in line with our policies and legislative requirements, classified appropriately, and usable, retrievable, and retain integrity throughout their lifecycle.

Collaboration and Communication

Collaborate with internal colleagues, across government, and with external stakeholders to develop knowledge management capability and best practice, and further the goals of the profession.

Requirements
  • Qualifications

GCSE Maths and English equivalent or above, or good numeracy and written skills.

Knowledge and Experience

In-depth understanding of records management principles and practices, knowledge of relevant information legislation and regulations, and experience of working on KIM-related change programs delivering organizational and/or cultural change.

Skills and Abilities

Advanced project management skills, ability to make the most effective use of information to support organizational objectives, capacity to drive and deliver change and transformation, and excellent written and verbal communication skills.
