About the Role
We are seeking an experienced and skilled Healthcare Operations Coordinator to join our team at University Hospitals Bristol and Weston NHS Foundation Trust (UHBW).
As a key member of our operations team, you will play a crucial role in ensuring the smooth delivery of healthcare services across our hospitals. Your primary responsibility will be to coordinate and manage the day-to-day activities of our clinics, including patient bookings, appointments, and communication with clinical and administrative staff.
Main Responsibilities:
- To support the triaging of referrals by liaising with key clinical staff and escalating patient queries, capacity problems, and general issues to the relevant manager or clinical staff as appropriate.
- To act as a point of contact for queries from clinical and non-clinical staff, providing effective and polite communication via telephone and email.
- To communicate changes to clinics and appointments to patients as instructed, often at short notice, and ensure accurate information is provided through various channels.
- To implement policies for patients who do not attend (DNA) their appointments, monitor outstanding appointment requests, and rebook cancelled appointment slots efficiently.
- To work closely with the Assistant Performance and Operations Manager to contribute to the delivery of efficient services in the Children's Hospital, promoting effective communication and collaboration among teams.
Requirements:
- Clerical/administrative experience, including filing and/or reception.
- Experience of dealing with the public, both on the telephone and in person.
- Effective and polite manner when dealing with people, both face-to-face and on the phone.
- Able to work under pressure and meet deadlines while maintaining high standards of accuracy.
- Ability to work effectively in a busy team, adapt to change, and motivate others.
- Good IT skills, including Microsoft packages, and attention to detail.
