The Role

This Administrative Support Specialist role will provide critical support to the Board of Directors and the Executive Leadership Team, ensuring seamless office management operations. The ideal candidate is highly organized, proactive, and adaptable, with excellent communication skills and attention to detail.

Key Responsibilities:

  • Provide high-level administrative support to the Executive Leadership Team, including scheduling meetings, coordinating travel arrangements, and expense management.
  • Support preparation and distribution of executive team monthly management board reporting packs and other documents on behalf of the ELT.
  • Coordinate and prepare Town Hall decks and agendas.
  • Compile data and prepare reports and documents as requested by the ELT.
Board and Committee Support

This role will also involve supporting the Board and committees, including:

  • Scheduling and coordinating board meetings, preparing agendas, maintaining and updating meeting records, and circulating papers as per agreed timelines.
  • Taking minutes during meetings and ensuring accurate and timely distribution of meeting minutes and follow-up on action items.
  • Preparing materials for meetings and serving as the primary point of contact for Board members, addressing inquiries, and providing necessary support.
AGM & Member Director Elections

In addition, this role will involve supporting AGMs and member director elections, including:

  • Providing logistical support for Annual General Meetings (AGMs).
  • Assisting in the preparation and distribution of AGM notices and documentation.
  • Supporting the coordination of member director elections, including candidate communication and voting process management.
  • Assisting with the onboarding of new member and independent non-executive directors, sharing induction materials, and arranging introduction sessions.
Office Management

This role will also involve day-to-day office operations, including:

  • Supporting the UK office, ensuring a well-organized and efficient work environment.
  • Being responsible for compliance aspects, such as fire and health & safety, including booking annual risk assessments and ensuring training for first aiders and fire marshals is up to date.
