This role plays a pivotal part in supporting both HR and office management functions to ensure seamless day-to-day operations. The ideal candidate will have a unique blend of organizational skills, interpersonal abilities, and passion for contributing to a dynamic business.

Key Responsibilities

  • Assist in the talent acquisition process by posting job openings, scheduling interviews, and conducting initial candidate screenings.
  • Maintain and update employee records, including contact information, employment contracts, and performance evaluations.
  • Support new employee onboarding by preparing orientation materials and coordinating training sessions.
  • Handle HR-related inquiries from employees and provide general HR administrative support.
  • Organize company events, employee engagement activities, and training programs.
  • Partner with the global People team to update and maintain company policies and procedures, foster a positive company culture, and implement HR incentives.
  • Handle sensitive and confidential information with discretion.

Office Management and Executive Assistant Duties

  • Order office supplies and ensure the office is well-stocked and organized.
  • Coordinate meetings and appointments, including booking conference rooms and preparing necessary materials.
  • Maintain office facilities and ensure a clean and safe work environment.
  • Collaborate with vendors and service providers to address office maintenance and IT support issues.
  • Organize and book travel arrangements.
  • Provide administrative support and organization for the COO, including diary support, booking meetings and rooms when required.
  • Support minute-taking in COO management meetings.
  • Oversee office budgets and expenses.

Requirements

  • 1-2 years of experience in HR or office administration.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficient in G-Suite and basic HR software.
  • Attention to detail and a proactive attitude.
  • Ability to work independently and as part of a team.
