About the Role

YOOX NET-A-PORTER GROUP is seeking a highly organized and detail-oriented HR Shared Service Administrator to join our Global HR Team. As a key member of our PeopleHub UK team, you will provide administrative support to our busy HR team and YNAP population.

Key Responsibilities
  • Prepare employment-related letters for staff, including role changes, annual salary increases, family-friendly changes, new starters, and leavers.
  • Manage the end-to-end maternity and paternity process, ensuring seamless support for our employees.
  • Process leavers and conduct exit interviews to gather valuable feedback.
  • Update and maintain employee personnel files and keep HR systems up-to-date.
  • Work closely with our payroll team to provide support to managers and employees for the Workday system.
  • Provide general and comprehensive administration support to HR Business Partners, Advisors, and Recruitment.
  • Support the onboarding of new employees, ensuring a smooth transition into the company.
  • Conduct Right to Work checks for new and existing employees, ensuring compliance with regulations.
  • Track and monitor various employee-related data, including fixed-term contractors, maternity, paternity, shared parental leave, probation, visas, and allowances.
  • Complete ad-hoc duties and projects as required, demonstrating flexibility and adaptability.
  • Follow all HR processes and ensure compliance with company policies and procedures.
Requirements
  • Prior experience in an HR administrative role, supporting a busy team and providing first-line advice to employees.
  • Excellent communication and writing skills, with the ability to articulate complex information in a clear and concise manner.
  • Discreet, professional, and well-presented, with a strong attention to detail and organizational skills.
  • Ability to use judgment and seek guidance with confidential issues, maintaining confidentiality at all times.
  • Great sense of humor, empathy, and work ethic, with a service-driven approach to delivering exceptional HR support.
  • Knowledge of MS Office, specifically Excel, Outlook, and Word, with experience with Workday preferable but not mandatory.
