About the Role

MUFG is seeking a highly skilled HR Shared Services Administrator to join our team. As a key member of our HR Shared Services team, you will play a critical role in providing exceptional support to our employees and stakeholders.

Key Responsibilities
  • Provide tier 1 level support to employees and stakeholders, ensuring timely and effective resolution of queries and issues.
  • Coach managers and employees on the use of Tier 0 tools and Workday processes, ensuring seamless adoption and utilization.
  • Offer entry-level policy advice to line managers and support vanilla ER queries, escalating complex issues to senior team members when necessary.
  • Partner with colleagues to deliver a client-centric approach, building a network of contacts to collaborate with and drive business outcomes.
  • Manage cases in accordance with standard operating procedures, policies, and service level agreements, ensuring high-quality service delivery.
  • Lead pre-employment processes, including the production of new hire documentation, right to work checks, and other essential tasks.
  • Perform data entry and maintenance in Workday and other business systems, ensuring accurate and up-to-date employee information.
  • Champion data integrity, utilizing the system to its full capability and ensuring adequate controls are in place to reduce errors.
  • Manage document processes within HR Shared Services, ensuring all required documentation is filed accurately and employee personnel records are up-to-date.
  • Support the reporting of issues, including pre-employment screening processes, and escalate situations as necessary.
  • Process and reconcile purchases and invoices within the HR function, adhering to Inter-Department Agreements.
  • Actively contribute to continuous service improvement initiatives, suggesting enhancements to Intranet/Help by AskHR pages and working practices.
  • Ensure all services delivered meet agreed policies and procedures, contributing to a high level of client service.
  • Manage queries and process actions as per relevant Inter-Department Agreements with HR Centres of Excellence.
  • Data maintenance of the Learning Management system, ensuring regulatory training is uploaded and ready for launch.
