Job Title: Occupier Facilities Manager

Savills Management Resources is seeking a highly motivated and experienced Occupier Facilities Manager to join our team.

About the Role

The Occupier Facilities Manager will be responsible for the operational management of Savills property, ensuring high-quality management services for our clients and tenants. This role will involve leading the delivery of facilities management services, including risk assessments, compliance with legal and statutory requirements, and ensuring that properties are maintained to a high standard.

Key Responsibilities
  • Ensure that the Operation Reporting System and Datastation Health & Safety systems are up to date and complete at all times.
  • Ensure compliance with all legal and statutory requirements, including Health and Safety.
  • Prepare each site for risk assessments and maintain a minimum compliance rating of 85%.
  • Ensure that a full set of risk assessments is held at each property and on Datastation, and action plans are implemented.
  • Complete quarterly checklists and upload them to Datastation within the specified time scales.
  • Inspect all properties on a frequency specified by the FMA.
  • Act as a mentor to FM Apprentices and ensure their development and progression.
  • Work with Savills Pathways to develop individual training plans for Assistant Facilities Managers and FM Apprentices.
  • Record utility consumption and update Optima/Compass accordingly.
  • Ensure high site standards in respect of cleaning, repair, and presentation are achieved and maintained within property budgets.
  • Visit each client on a quarterly basis or as often as the management contract dictates and report/resolve any issues.
  • Act as the first point of contact for Savills Helpdesk in emergency situations and coordinate third-party stakeholders to reach a speedy resolution.
  • Evaluate existing contractual relationships and ensure that the service provided by contractors is in line with the agreed specification.
  • Assist in the preparation of the annual service charge budget and track spend against budget.
  • Own all drafts on the service charge reconciliation.
  • Monitor client expenditure and ensure that invoices are approved in a timely manner.
  • Prepare and implement contingency plans to ensure adequate and suitable site attendance.
  • Produce and coordinate information in line with Savills and client requirements.
  • Promote the Occupier service line and identify business development opportunities.
  • Lead the mobilisation and demobilisation of properties within allocation.
  • Carry out annual appraisals for SMR site staff and ensure 6-monthly reviews are completed.
  • Manage all site personnel on a day-to-day basis, monitoring performance, developing skills, and addressing performance or conduct issues.
Requirements
  • Self-motivated individual with excellent interpersonal skills.
  • Excellent organisational and time management skills with a degree of flexibility.
  • Ability to handle a large number of projects with a broad range of customers, suppliers, and property owners.
  • Experience and knowledge of achieving high standards in property management.
  • Knowledge and understanding of preparing service charge budgets.
  • NEBOSH or IOSH Managing Safely qualifications.
  • Strong overall experience in a similar environment.
