Job Summary

We are seeking an experienced HR Operations Coordinator to join our team at Publicis Groupe. As an HR Operations Coordinator, you will play a critical role in supporting the Talent team and ensuring the smooth operation of HR processes.

Key Responsibilities
  • Foster Strong Relationships: Develop and maintain strong relationships with the Talent team and wider agency, ensuring sensitive handling of queries and providing exceptional customer service.
  • Employee Support: Serve as the first point of contact for employee queries, resolving or escalating issues as needed, and providing guidance on HR policies and procedures.
  • Onboarding and Offboarding: Oversee the onboarding process for new joiners, managing paperwork and handover to Payroll, and ensure a seamless offboarding process for leavers.
  • Employee Data Management: Maintain accurate joiner/leaver data across systems, monitor and log employee absences, and escalate issues as necessary.
  • Probation and Compliance: Administer the probation process, escalating to Talent Advisor when needed, and ensure compliance with right-to-work documents and highlight visa expirations.
  • Employee Experience: Collaborate with Talent Operations to maintain accurate employee data and records, and process invoices and POs promptly.
  • Support to Talent Projects: Support Talent projects and assist the wider team with ad hoc tasks, and assist Talent Advisor with family leave processes and policy guidance.
Requirements
  • HR Knowledge: An understanding of HR, whether through studies or work experience, and a passion to develop a career in HR.
  • Communication Skills: Excellent written and verbal communication skills, with the ability to communicate effectively with employees at all levels.
  • Organizational Skills: Detail orientated and organized, with the ability to handle a varied workload and prioritize tasks effectively.
  • Technical Skills: Strong user of Microsoft office – Excel, Word, PowerPoint and Outlook, and previous experience using HR systems and experience of HR database is desirable.
  • Personal Qualities: Resilient person who welcomes change & has a continuous improvement/growth mindset, and a team player who cares for our collective success as well as your own.
