Job Summary

We are seeking a highly organized and detail-oriented individual to join our team as a Clinic Coordinator in General Surgery. The successful candidate will be responsible for coordinating outpatient clinics, ensuring efficient time management, and maintaining accurate records.

Main Duties and Responsibilities

Assist with the coordination of clinics, including liaising with Consultants and Administration & Clinical Management to ensure staff and room availability.

Ensure all relevant databases and patient information systems are up to date.

Prepare case note folders and complete necessary documentation for all new patients.

Ensure patients' notes are correctly completed with patient details.

Ensure all correspondence and documentation are filed promptly and cross-referenced whenever necessary.

Ensure relevant health records are available to the Clinical Team when required and anticipate demand wherever possible.

Assist and actively participate in the process of patient tracking, including booking all necessary appointments, chasing results, monitoring waiting lists, and ensuring patients receive timely treatment up to the point of discharge, when required.

Prepare and collate statistical information as required and input to database if appropriate, in conjunction with Trust requirements.

Provide general administrative services, including photocopying, filing, and other office routines.

Receive and sort daily post, date stamp, and distribute as appropriate.

Liaise with other Trust departments, GPs, and other healthcare agencies, when required.

Assist and help colleagues when the need arises.

Provide cross-cover within the administration team during absence, including on limited occasions covering Reception.

Follow relevant organizational policies, such as notification of sickness absence and participation in individual appraisal.

Education, Training, and Qualifications

Essential

Educated to GCSE level or equivalent level of education.
