Job Role: Buying Admin

At Selfridges, we are seeking an experienced Buying Admin to provide administrative support to our Buying teams. As a Buying Admin, you will be responsible for creating sku's and loading orders onto the system, dealing with and resolving queries, and liaising closely with suppliers.

Key Responsibilities:

  1. Be the first point of contact with suppliers and the warehouse for booking in deliveries, making changes to delivery schedules, and order amendments.
  2. Upload the buyers worksheet and create skus in Retek, highlighting areas where the Buyers worksheet is incomplete and work with the Buyer to improve.
  3. Load orders onto the system correctly as soon as possible after they are received.
  4. Set up and monitor the delivery schedule, checking delivery windows and schedules, and highlighting problems to the Buying team.
  5. Check order confirmation with suppliers, chasing and checking confirmation notes.
  6. Resolve DC queries – for example, mismatched delivery notes (aim to avoid stock sitting in the DC).
  7. Update and maintain the database with relevant terms, e.g., trade/settlement discounts.
  8. Set up accounts for new suppliers.
  9. Ensure requests for pre-ticketing are communicated to suppliers.

  • Organised and proactive, able to multi-task, prioritise, and work to tight deadlines, while maintaining excellent attention to detail.
  • A problem solver, able to apply different ways of thinking in different situations.
  • A great communicator, both verbal and written, with the ability to build strong relationships with stakeholders and work across various teams.
  • A proactive team member, able to collaborate with the wider Buying and Merchandising teams.
  • Pacey, positive, and flexible, responsive to business needs, with a willingness to take responsibility for tasks.
  • All over the numbers, analytical and results-driven, able to use data to measure performance and identify areas of improvement.
  • Systems literate, proficient in Excel and other Microsoft Office software, with high levels of accuracy.
