DP World Australia is currently recruiting for a Front Desk Coordinator to join our prestigious Regional Head Office in London. This role will see you manage the efficient administration of the reception area, business lounge, and meeting rooms and be the first point of contact for external and internal clients to DP World Regional Head Office.

About the Role:

  • Greet all clientele in a friendly and efficient manner and contact their meeting representative.
  • Responsible for issuing the correct security access pass only to those who require access beyond the front of house.
  • Maintain the security passes for the office areas.
  • Provide central telephone switchboard services, including dealing with a wide variety of DP World-related enquiries from the public.
  • Issue guests with the relevant lanyard and security pass and a verbal Health & Safety induction.
  • Direct guests to the business lounge and encourage them to use the facilities whilst they await their host.
  • Assist internal customers as required by pre-populate the visitor's list using the landlord's online system called Yardi Bluepoint.
  • Maintain efficient and effective filing/retrieval systems making maximum use of technology to achieve a paperless office.
  • Ensure all DP World overseas visitors are registered, and details are provided to the Tax Manager for tax purposes.
  • Co-ordinate the meeting room booking system.
  • Assist the day cleaner set up meeting rooms with refreshments/lunches where necessary.
  • Booking in and out of all contractors ensuring full completion of all relevant Health & Safety forms.
  • Booking of Taxi's and Couriers.
  • Co-ordinate booking of couriers and all internal courier requirements, account for and check the correctness of invoices and deal efficiently with incorrect invoices.
  • Performing basic telephone system administration, changes, and reporting.
  • Assist with the setting up of Audio-Visual equipment in meeting rooms where necessary and check that it is working correctly.
  • Perform ad hoc administrative duties and adhere to standards, processes, and policies.

Your Key Skills:

  • Previous experience of front of house/reception/administration experience in a corporate, fast-paced organisation.
  • Exposure to switchboard management and security-conscious individual.
  • Highly motivated individual with real energy and enthusiasm.
  • Skilled in administration utilising a wide range of Microsoft Office products.
  • Highly organised, communicative, and articulate.
  • Adaptable and able to manage changing priorities in a fast-paced environment.
Compensation

We offer a highly competitive salary of £25,000 - £30,000 per annum, depending on experience. In addition to your salary, you will receive a range of benefits, including:
