Job Summary

We are seeking a highly organised and administrative skilled individual to join our team as an Administrative Coordinator. The successful candidate will provide exceptional support to the Director and wider team, ensuring seamless day-to-day operations.

Key Responsibilities:
  • Administrative Services: Provide high-quality administrative support to the Ministry Discipleship team, including diary management, meeting coordination, email correspondence, and other tasks as required.
  • Diary and Correspondence Management: Organise and manage the Director's diary, meetings, emails, and correspondence, responding promptly to queries and messages on their behalf.
  • Team Administration: Provide administrative services to the Director and wider team, including arranging meetings, preparing papers, taking and producing minutes, writing notes, and participating in planning and implementation of the team's work programme.
  • Training Events: Coordinate and organise training events, including booking, publicity, and practical arrangements for conferences and training courses, providing support during events.
  • Databases and Records: Establish and maintain appropriate databases for training, overseeing and completing administration for readers and other licensed lay ministries, including preparation of new licenses, relicensing, DBS checking, and safeguarding administration.
Requirements:
  • Qualifications: Recognised qualification (or demonstrable competence) in IT skills, including managing emails, word-processing, producing publicity materials, spreadsheet creation and editing, PowerPoint presentations, and database creation and management.
  • Key Skills: Ability to work independently, manage and prioritise administrative work, maintain financial records, work confidentially within complex relationships, relate effectively to colleagues and stakeholders, be flexible and work under pressure, publicise and organise training conferences and events, and assist during events.
  • Teamwork: Ability to work collaboratively with colleagues, take responsibility for administration and hospitality, and respect confidentiality and discretion where required.
Working Arrangements:
  • Hours: 24-35 hours per week, usually between 8am-6pm, Monday-Friday, with occasional evening and weekend working.
  • Salary: £26,000-£28,000 per annum, dependent on experience, with potential increase after probation.
  • Location: Office based in Portsmouth, with opportunities to work from home and occasional off-site meetings and training events.
  • Benefits: Pension scheme and up to 25 days' holiday (dependent on weekly hours).
