About the Role
We are seeking a highly organized and communicative Receptionist to join our team at Oxford University Hospitals NHS Foundation Trust. As a key member of our Ophthalmology Department, you will be responsible for providing exceptional patient care and administrative support.
Key Responsibilities
- Ensure a warm and welcoming experience for patients, families, and visitors.
- Manage patient demographics, updating information as necessary while maintaining confidentiality and adhering to Trust policies.
- Register patient attendance in real-time, utilizing our Electronic Patient Record (EPR) system.
- Respond to patient inquiries with empathy and professionalism, using tact and diplomacy when dealing with anxious individuals.
- Coordinate follow-up appointments, ensuring accurate referral to treatment (RTT) status is recorded in accordance with Trust guidelines.
- Arrange for special requests, such as interpreters or sign language services, in a timely manner.
- Maintain accurate and up-to-date reception clinic lists, recording late bookings, cancellations, and DNAs as required.
- Ensure patients are checked in and out of clinic, and future appointments are made on the day of attendance whenever possible.
- Capture outpatient procedure activity from outcome forms using the HIM chart coding function in EPR.
- Prepare patient notes in advance, highlighting any missing information for relevant line managers.
- Coordinate return transport for patients, as requested by senior nurses or Arriva and Oxford Ambulance.
- Maintain a tidy and well-organized reception area, reporting any defects to the relevant line manager.
- Prioritize workload and work with minimal supervision, undertaking further training as needed.
