A highly motivated Property Team Administrator is sought by a fast-paced and well-established real estate business engaged in buying, developing, and managing luxury real estate across London.

As a key member of the property management team, you will provide full administrative support to assist with the day-to-day operations of the team. This will include assisting in block management administration to support 20 fully furnished PRS sites around central London.

You will be working closely with the Head of Portfolio Management to ensure all administrative tasks are completed efficiently and effectively. Your excellent organisational skills and attention to detail will be essential in maintaining accurate records and ensuring compliance with relevant regulations.

The ideal candidate will have previous experience as an administrator within the residential property industry, specifically in AST or Block management. You will possess strong communication skills, both written and verbal, and be able to work independently with minimal supervision.

You will also have exceptional Microsoft Office skills, including Word, Outlook, and Excel, and be able to deliver an extremely high level of service. A proactive, polite, and professional approach is essential for this role.

Key Responsibilities:

  • Assist in day-to-day operations of all property management
  • Handle diary management for the team
  • Provide direct communication with tenants for access and ensure follow-ups are carried out
  • Respond directly to property-related issues as they arise
  • Deal with ad hoc problems and unforeseeable situations and refer to the head of department if required or an escalation needed
  • Liaise with various stakeholders, including accounts and maintenance teams
  • Schedule all works/services and other matters that are required to be carried out
  • Liaise with accounts over payments and receipts
  • Create purchase orders and ensure all invoices are approved and signed before being taken to accounts
  • Control of all administration/filing, both paper and electronic as applicable
  • Responsible for maintaining health and safety records and ensuring all documents and certification are filed
  • Generate summaries and reports for the Head of Portfolio Management
  • Maintain logs of all pending/statutory works
  • Create schedules and trackers to ensure logs are up to date and works are carried out
  • Assist the head of department as required

Required Skills and Qualifications:

  • Previous experience as an administrator within the residential property industry in AST or Block

Salary: £32,500 per annum (dependent on experience)

Working Hours: Monday to Friday, 9:30am to 6pm, office-based
