Luxury Event Coordinator

Turnberry Resort, Scotland is seeking a skilled and experienced Luxury Event Coordinator to oversee our event planning operations.

With a rich history and stunning views of the Ayrshire coastline, our event planning team is dedicated to crafting unforgettable experiences in our exquisite function spaces.

POSITION OBJECTIVE

The primary objective of this role is to lead the event planning team in meticulously organizing and executing a variety of events, including corporate conferences, weddings, and social gatherings, all while maintaining a high standard of luxury and creativity. This role involves supporting the team in all facets of event planning, driving performance and revenue through accurate bookings, documentation, and effective upselling of resort services.

In collaboration with the HR Department, you will manage training and development initiatives within the team, ensuring that quality assurance systems are in place and updated. You will also oversee the continuous enhancement of the department's information database.

KEY RESPONSIBILITIES

  • Lead the event planning team to efficiently coordinate all group and wedding events, while managing your own dedicated projects and supporting team members.
  • Encourage the team to achieve financial targets by maximizing client revenues and utilizing upselling techniques across all resort offerings.
  • Empower team members to meet performance excellence by ensuring all event documentation is accurate, agreed upon by clients, and distributed in a timely manner.
  • Foster strong relationships with sales teams, providing operational support and ensuring a seamless transition for contracted events.
  • Manage client interactions throughout the planning process, ensuring adherence to payment schedules and maintaining a presence during events.
  • Build and maintain professional relationships with clients, suppliers, and resort staff, ensuring exceptional service is delivered consistently.
  • Conduct thorough planning meetings tailored to individual client needs, and support the Group Sales Manager in hosting familiarization trips and attending trade shows.
  • Facilitate comprehensive weekly meetings with operational departments and lead pre-convention discussions for larger groups.
  • Supervise the events team daily, addressing business and personnel challenges as they arise.

CANDIDATE REQUIREMENTS

  • Proven experience in a management role within luxury hotel event planning is essential. A Bachelor's degree and qualifications in Events Management or Hospitality are preferred.
  • Excellent verbal and written communication skills in English are required.
  • A proactive and self-motivated individual who can work both independently and as part of a team.
  • Strong organizational and time management skills are crucial.
  • Proficient computer skills and a willingness to engage in office-based tasks are necessary.
  • Attention to detail and the ability to multitask in a dynamic environment are essential, along with a passion for events and a commitment to continuous improvement.
  • Flexibility to work shifts, weekends, and holidays is required, along with adherence to grooming and uniform standards.
  • Eligibility to live and work in the UK is mandatory.
