Turnberry Resort, Scotland is seeking a seasoned Event Coordinator with a passion for luxury event management.
With a rich history and stunning surroundings, our Event Planning team is dedicated to orchestrating exceptional events in picturesque venues that showcase the breathtaking beauty of Scotland.
POSITION OVERVIEW
The primary responsibility of this role is to lead the Event Planning team in meticulously and creatively managing all resort events, including corporate gatherings, weddings, and social functions. This involves ensuring that all aspects of event planning are executed with precision and professionalism, while also maximizing revenue opportunities through effective upselling and client relationship management.
In collaboration with the Human Resources Department, you will oversee the training and development of team members, ensuring that quality assurance systems are in place and that Standard Operating Procedures (SOPs) are consistently updated. Additionally, you will manage the development of the department's information database.
KEY RESPONSIBILITIES
- Lead the Events Team in the seamless coordination of all group and wedding events, while also supporting team members with their assigned projects.
- Drive revenue growth by effectively managing client relationships and ensuring adherence to contractual agreements, while also exploring upselling opportunities across the resort.
- Empower the team to achieve performance excellence by ensuring all event documentation is accurate and timely, and that client approvals are obtained.
- Foster strong communication and collaboration with sales teams, providing operational insights and support throughout the event planning process.
- Manage the client journey through the planning stages, ensuring all financial obligations are met and that detailed documentation is provided to operational departments.
- Build and maintain professional relationships with clients, suppliers, and resort staff, ensuring that a high standard of service is delivered at all times.
- Conduct thorough planning meetings tailored to individual client needs, and support the Group Sales Manager in hosting familiarization trips and client events.
- Lead weekly meetings with operational departments to ensure all event details are communicated effectively and that team members are prepared for upcoming events.
- Oversee daily operations of the Events team, addressing any challenges that arise in a timely manner.
CANDIDATE PROFILE
- Proven experience in a management role within luxury hotel event planning is essential. A Bachelor's degree and qualifications in Events Management or Hospitality are preferred.
- Exceptional communication skills in both written and spoken English are required.
- A proactive and self-motivated individual who can work effectively both independently and as part of a team.
- Strong organizational and time management skills are critical.
- Proficient computer skills and a willingness to engage in office-based tasks are necessary.
- Attention to detail and the ability to manage multiple tasks in a fast-paced environment are essential, along with a genuine passion for events.
- Flexibility to work shifts, weekends, and holidays is required, along with adherence to grooming and uniform standards.
- Eligibility to live and work in the UK is a must.
