Turnberry Resort, Scotland is seeking a seasoned luxury Event Planner to enhance our esteemed team.
With a legacy spanning over a century, our Event Planning division meticulously organizes and executes events in stunning venues that showcase the breathtaking scenery of Ayrshire's coastline.
ROLE OBJECTIVE
The primary objective is to guide the Event Planning team in expertly curating all resort gatherings, events, and off-site functions with a focus on luxury and creativity. This encompasses a variety of events, including corporate meetings, weddings, golf outings, incentives, and social gatherings. The role involves supporting the team in all facets of event planning, driving performance and revenue through precise bookings, documentation, contract compliance, forecasting, and billing, while also identifying opportunities for upselling resort services.
In collaboration with the HR Department, oversee the training and development initiatives within the team. Ensure quality assurance by maintaining up-to-date Standard Operating Procedures (SOPs) for all practices. Supervise the ongoing enhancement of the department's information database related to the resort and specific roles.
KEY RESPONSIBILITIES
- Lead the Events Team in effectively coordinating all group and wedding activities, managing personal events while supporting team members with their assignments.
- Motivate the team to achieve financial targets by managing client relationships, maximizing revenue, and employing upselling strategies across the resort. Ensure optimal group occupancy, average room rates, banquet revenue, wedding sales, and leisure income to meet budgetary goals.
- Empower the team to excel in performance by ensuring all Event Summaries and Banqueting Event Orders are produced with high accuracy, approved by clients, and shared internally according to company timelines.
- Foster strong relationships and open communication with sales teams, providing technical advice, operational knowledge, and support throughout the sales process, ensuring a smooth transition for each contracted event.
- Manage the planning process for clients, adhering to payment schedules, presenting detailed documentation for operational execution, maintaining presence during events, collecting final payments, and securing future bookings.
- Build and maintain professional relationships with clients, suppliers, and resort associates, ensuring a consistently high level of service is delivered by both self and team.
- Conduct thorough planning meetings tailored to individual clients, utilizing various communication methods. Assist in organizing familiarization trips and client entertainment, and participate in trade shows to promote events and weddings.
- Facilitate comprehensive weekly meetings with key operational personnel and lead pre-convention discussions for significant group events.
- Oversee the Events team daily, addressing business and personnel challenges as they arise.
CANDIDATE PROFILE
- Proven experience in a management role within luxury hotel event planning is essential. A Bachelor's degree is preferred, with qualifications in Events Management or Hospitality being advantageous.
- Excellent communication skills in both written and spoken English are required.
- A proactive self-starter capable of working both independently and as part of a team.
- Strong time management and organizational skills are essential.
- Proficient computer skills and a willingness to engage in office-based tasks are necessary.
- Exceptional attention to detail and the ability to multitask in a dynamic environment are crucial, along with a passion for events and a commitment to continuous improvement.
- Availability to work shifts, weekends, and holidays while adhering to grooming and uniform standards.
- Eligibility to live and work in the UK is required.
