We are seeking a highly organized and proactive Part-Time Office Manager/PA to join our team at Zebra People. As a key member of our office team, you will be responsible for coordinating all aspects of day-to-day office operations, ensuring the smooth running of our business and maintaining a vibrant and organized work environment.

Key responsibilities include:

  • Promoting a positive office culture and supporting team-building initiatives
  • Logistics and support for events hosted at our HQ
  • Monitoring and ordering office supplies
  • Providing administrative support to the MD, including diary management, travel arrangements, and client liaison
  • Coordinating social media activities, particularly around events
  • Managing client follow-ups and marketing materials
  • Developing and maintaining a charity partnership
  • Assisting consultants with bi-monthly mailshots
  • Managing IT and telecoms functions and general office maintenance
  • Ensuring password security and database management
  • Supporting the people function with onboarding and offboarding processes
  • Organizing office supplies and maintaining a tidy workspace
  • Maintaining relationships with suppliers and negotiating costs for facilities
  • Adhering to our eco-policy and ensuring sustainable office practices
  • Supporting finance and compliance, covering absences when required
  • Managing deliveries and office mail
  • Greeting visitors at the office

Requirements:

  • Experience with MS Office Suite, particularly Excel and Outlook
  • Excellent communication and organizational skills
  • Proactive nature with a can-do attitude
  • Strong interpersonal skills and ability to build relationships
  • Experience working in a fast-paced environment
  • CRM/database experience preferred but not essential
  • A team player with a strong drive to create a positive work environment
