- Maintain and monitor the practice appointment system, ensuring efficient and effective scheduling.
- Process personal, telephone, and e-requests for appointments, providing clear and concise information to patients.
- Answer incoming phone calls, transferring calls or dealing with callers' requests appropriately, demonstrating excellent communication skills.
- Signpost patients to the correct service, ensuring they receive the necessary support and guidance.
- Process incoming and outgoing mail, maintaining confidentiality and adhering to data protection policies.
- Initiate contact with and respond to requests from patients, team members, and external agencies, demonstrating a proactive and responsive approach.
- Process calling letters and DNA letters in accordance with current policy, ensuring accurate and timely processing.
- Read code data on SystmOne, maintaining accurate and up-to-date patient records.
- Photocopy documentation as required, ensuring high-quality and secure storage of patient information.
- File and store records as required, maintaining a clean and organized workspace.
- Data entry of new and temporary registrations and relevant patient information, ensuring accuracy and attention to detail.
- Input data into patients' healthcare records as necessary, maintaining accurate and up-to-date information.
- Scan patient-related documentation and attach scanned documents to patients' healthcare records, ensuring secure and efficient storage.
- Manage all queries, including administrative queries, in an efficient and effective manner, providing clear and concise responses.
- Carry out system searches as requested, maintaining accurate and up-to-date information.
- Maintain a clean, tidy, and effective working area at all times, ensuring a positive and welcoming environment for patients and colleagues.
- Monitor and maintain the reception area and notice boards, ensuring accurate and up-to-date information.
- Support all clinical staff with general tasks as requested, demonstrating a proactive and collaborative approach.
Person Specification
- Excellent customer service skills, with the ability to work in a fast-paced environment.
- Ability to work in a team, with a focus on collaboration and communication.
- Confidentiality, with a strong understanding of data protection policies and procedures.
- Desirable: General Practice experience, SystmOne experience, and basic IT skills.
