We are seeking a highly organized and efficient individual to join our school team as a School Secretary/Receptionist/Administrative Assistant. This role is responsible for providing administrative support to the smooth running of the school.
Main Responsibilities:- Manage and maintain accurate records and information received in the office.
- Ensure the Single Central Register is up-to-date and maintained.
- Process and check DBS applications.
- Welcoming and escorting visitors to their destination.
- Handle telephone calls and respond to queries in a timely and efficient manner.
- Deal with parents, pupils, and visitors in person, phone, email, and manage written correspondence as directed by the Headteacher, maintaining confidentiality and sensitivity.
- Prepare and post daily attendance lists for breakfast club, after-school club, extra-curricular clubs, activities, and trips.
- Administer medicines and inhalers to children.
- Maintain daily class registers, attendance monitoring, reporting, and referrals.
- Control the School's SIMS database and enter pupil information, completing and submitting accurate School Census data.
- Process school admissions, reception intake, casual admissions, and leavers.
- Administer ParentMail, newsletters, trips, payments, parent evenings, registers, and messages.
- Respond to ad hoc requests from staff for reports and assistance.
- Assist with administration for recruitment of staff.
- Be aware of and comply with the School's policies and procedures, particularly those relating to child protection, safeguarding, equal opportunities, health and safety, confidentiality, and data protection, and report any concerns to an appropriate person.
