Administrative Assistant to Directors

We are seeking a highly organized and proactive Administrative Assistant to provide personalized secretarial and administration support to our Customer and Commercial and Finance Directors. As the first point of contact, you will be responsible for coordinating and planning the activities of both directors, ensuring they are fully prepared for meetings and appointments. Your excellent communication and organizational skills will be essential in managing incoming and outgoing correspondence, making travel arrangements, and maintaining confidentiality at all times.
Key Responsibilities- Provide administrative support to the Customer and Commercial and Finance Directors, including diary management, meeting coordination, and correspondence.
- Coordinate and plan the activities of both directors, ensuring they are fully prepared for meetings and appointments.
- Manage incoming and outgoing correspondence, including emails, letters, and reports.
- Make travel arrangements, book venues, and catering for meetings and conferences as needed.
- Maintain confidentiality at all times and process information in a way that meets the required standards around data protection.
- Provide cover for other PAs during periods of sickness and annual leave.
- Educated to a high standard, preferably A Level or equivalent, or significant proven experience in a fast-paced administration environment.
- Able to work independently without supervision, managing precise timeframes.
- Proven experience of prioritizing and time managing, working in a busy office environment.
- Proven experience of working in a confidential environment.
- Able to communicate clearly via a range of means and with people at all levels of the business.
- Experience of working in a commercial environment and displaying business acumen.
- Experienced in working in a team and from own initiative with the ability to multitask.
- Proficient use of Microsoft Office applications, and in particular Outlook, Word, Excel, and PowerPoint.
- Strong data analytical skills and ability to make information clear for presentations.
- Highly organized and resourceful.
Our headquarters is based on the 4th Floor at South Bank Central, a stone's throw from the River Thames and a 10-minute walk from our busiest station, Waterloo. It is local to many well-known attractions, restaurants, and retail facilities and is easily accessible by public transport.
Working PatternWe are looking for someone to work an average of 37 hours per week over 5 days.
