Highfield Surgery is a small, family-run medical practice seeking a Part-time Patient Liaison Officer to join our team. As a key member of our staff, you will play a vital role in ensuring the smooth operation of our practice.

Job Summary

We are looking for a highly organized and communicative individual to assist with patient inquiries, appointments, and administrative tasks. The successful candidate will have excellent interpersonal skills, be able to work effectively in a team environment, and possess a strong attention to detail.

Key Responsibilities

  • Maintain and monitor the practice's appointment system, ensuring efficient scheduling and minimizing wait times.
  • Process personal and telephone appointments, including internal and external requests.
  • Answer incoming phone calls, transfer calls, or deal with caller requests appropriately.
  • Signpost patients to the correct service or department.
  • Initiate contact with and respond to requests from patients, team members, and external agencies.
  • Read and update patient data on our electronic health record system.
  • Photocopy documentation as required and maintain a clean and organized workspace.
  • Enter new and temporary patient registrations and relevant information into our system.
  • Input data into patient healthcare records as necessary.
  • Direct requests for information, such as SARs, insurance letters, and DVLA forms, to the administrative team.
  • Manage queries efficiently and effectively.
  • Maintain a clean, tidy, and effective working area at all times.
  • Monitor and maintain the reception area and notice boards.
  • Support clinical staff with general tasks as requested.
  • Scan patient-related documentation and attach scanned documents to patient healthcare records.
  • Deal with repeat prescriptions, ensuring accurate and efficient processing.
  • Check fridge temperature, handle vaccinations according to our cold chain policy, and handle patient samples.
  • Process referrals as required by doctors.
  • Process all posts and recalls patients to support QOF performance.
  • Register and deduct patients, pull out and file medical notes.

Secondary Responsibilities

  • Complete opening and closing procedures in accordance with the duty rota.
  • Inform staff who orders stationery supplies and monitor stock levels.

Qualifications

  • GCSE level or equivalent.
  • Experience working with the general public.
  • Excellent communication skills (written and oral).
  • Strong IT skills.
  • Clear, polite telephone manner.
  • Competent in the use of Office and Outlook.
  • Effective time management (planning and organizing).
  • Ability to work as a team member and autonomously.
  • Good interpersonal skills.
  • Problem-solving and analytical skills.
  • Ability to follow policy and procedure.

Desirable

  • GCSE Mathematics and English (C or above).
  • AMSPAR Receptionists Qualification.
  • NVQ Level 2 in Health and Social Care.
  • Experience of administrative duties.
  • Experience of working in a healthcare setting.
  • SystmOne.
  • Multilingual, speaking Hindi, Gujarati, Urdu, Punjabi, or Bengali.
