About the Role

The Operations Administrator will play a critical role in ensuring the efficient functioning of our business operations. This position involves a variety of administrative tasks, including database management, scheduling, inventory control, and record-keeping.

The ideal candidate will be highly organized, capable of multitasking, and committed to maintaining high standards of operational excellence.

Key Responsibilities:

  • Input absences into the Scheduling Software and assist with forward rostering across all portfolios.
  • Communicate with Operations Managers regularly regarding staff absences/lateness.
  • Communicate with all service providers daily regarding fulfillment requirements.
  • Communicate and confirm a shift on the system for employees who struggle to use the company app.
  • Monitor volunteers on the system and inform Operations Managers where gaps can be filled.
  • Check and report any fatigue management with the Operations Manager.
  • Cover any leave/absence/emergency within the department.
  • Use required systems per business needs.
  • Advise officers on correct procedures for Booking on/Annual Leave/Complaints.
  • Direct Officers to the correct Operations Managers for internal issues.
  • Inform the Operations Manager of any issues raised by employees.
  • Undertake any ad-hoc duties requested by the Operations team.

Essential Skills
  • Commitment to providing first-class customer service.
  • Strong communication skills, both written and verbal.
  • Excellent attention to detail.
  • Knowledge of scheduling preferred but not essential, training will be given.
  • Basic PC skills including Microsoft Word and Excel.
