We are seeking a highly skilled Facilities and Administration Manager to join our team at IoT Tribe in White City.

As a key member of our operations team, you will be responsible for maintaining the cleanliness and organisation of the office, ensuring all facilities, utilities, and equipment are functioning properly. You will also manage day-to-day office operations, including coordinating meeting room bookings, managing office supplies, and maintaining a welcoming environment.

The ideal candidate will have a proven track record of managing office operations, facilities, and administrative tasks in a professional environment. They will possess strong verbal and written communication skills, be comfortable using office software (e.g., Microsoft Office), and have a proactive approach to resolving issues.

Key Responsibilities:
  • Maintain the cleanliness and organisation of the office, ensuring all facilities, utilities, and equipment are functioning properly.
  • Manage day-to-day office operations, including coordinating meeting room bookings, managing office supplies, and maintaining a welcoming environment.
  • Receive and address IT requests promptly and efficiently, working with relevant service providers as needed.
  • Assist in organising company events, webinars, and workshops, including booking venues, selecting providers, and ensuring logistics are in place.
  • Oversee internal documentation and administrative tasks, maintaining accurate records and providing reports as needed.
  • Identify and manage relationships with external suppliers, negotiate budgets, and monitor quality of services delivered.
  • Coordinate meeting room use, ensuring resources are set up as needed and bookings are efficiently managed.
  • Greet visitors, provide access cards, and offer relevant information, ensuring a smooth entry process.
  • Ensure compliance with health and safety regulations, maintaining a safe and clean work environment.
  • Support the operations team in planning, monitoring, and delivering the accelerator programme.
  • Monitor office supplies and inventory, reordering when necessary.
  • Provide training to personnel on company policies, including adherence to the team handbook and cybersecurity standards.

As a member of the IoT Tribe team, you can expect a competitive salary between £35,000 - £40,000 per annum, depending on qualifications and experience.
