Theatre Administrator Job Description

Job Summary:

The Theatre Administrator is a key member of the theatre team, responsible for providing comprehensive administrative and coordination support to ensure the smooth operation of the theatre department.

Key Responsibilities:

  • Provide administrative support to the theatre team, including scheduling, coordination, and communication with various stakeholders.
  • Manage clinical information systems, including case records, to ensure accuracy and compliance with policy and procedure.
  • Apply theatre charges to the system in a timely and accurate manner, working closely with materials and billing teams.
  • Coordinate scheduling and planning between bookings and clinical teams, attending daily meetings and relaying key information to theatre leads.
  • Manage telephone enquiries, taking messages accurately and following up as required, and serve as the contact point for theatre staff.
  • Provide accurate summaries digitally and printed for clinical teams, including x-ray theatre schedules, list orders, and worklists.
  • Monitor and report on volume targets and KPIs for Fortius Surgical Centre, Fortius Clinic London, and Fortius as a whole, as relevant.
  • Liaise with departments and staff at all levels, both internally and externally, to ensure a seamless patient journey and inform internal and external contacts of updates on run times, delays, or issues throughout the day.
  • Maintain theatre registers and store completed registers according to CQC regulations, assist with maintenance of clinical governance record logs and implant records, and develop working relationships with practices and consultants.
  • Be competent with Microsoft suite, able to populate and update Excel spreadsheets across the bookings and theatre departments, and engage with recording of Patient Satisfaction Questionnaires with FOH and admin teams, as needed.
  • Provide cross-cover for ward admin and bookings teams, as required, and be a key user of clinical patient management systems, including Bluespier and Meddbase, trained to super-user level.
  • Practice strict levels of patient confidentiality and GDPR, and perform any other duties as requested from time to time, commensurate with this role.

Requirements:

  • Previous experience in a customer service and/or administration role.
  • Excellent communication skills.
  • An organized approach to work and excellent time management skills.
  • Able to prioritize a busy workload without direct supervision.
  • Polite and helpful telephone manner.
  • Flexibility and adaptability to a high-paced environment.
  • Able to handle sensitive information without compromising confidentiality.
  • Computer literate for Microsoft Office and Outlook.

Desirable:

  • Previous experience in the healthcare sector.
  • Previous experience with patient management systems.
