About the Role

We are seeking a highly organized and detail-oriented Human Resources Coordinator to join our team at IPC Systems, Inc. As a key member of our HR department, you will play a crucial role in supporting our business objectives and ensuring a positive employee experience.

Key Responsibilities
  • Employee Support: Provide exceptional support to employees, responding to HR and benefit inquiries, and escalating matters to HR Business Partners and Benefits Manager as needed.
  • Onboarding and Offboarding: Manage the onboarding process, including issuing offers of employment, drafting employment contracts, administering background checks, and enrolling employees on systems and with benefits providers. Complete offboarding duties, processing employee offboarding, and providing support to employees who are leaving the organization.
  • Probation and Employee Files: Track and manage employee probation processes, management reminders, and probation completion or extension paperwork. Maintain accurate employee files for current and former employees.
  • HRIS and Payroll: Ensure data integrity in our employee records and develop our HRIS system (Oracle cloud) to further automate and streamline our work practices. Process payroll changes and work closely with Payroll to ensure changes are processed appropriately.
  • Benefits and Leaves: Process changes with vendors, including additions, terminations, and status changes. Serve as the main point of contact for employees and managers regarding leaves of absence, maintaining internal records, managing absence records, and return to work processes.
  • Purchase Requisitions and Invoicing: Raise purchase requisitions and process invoices in the Oracle system, monitor and reconcile vendor billing, and resolve administrative problems with vendor representatives.
  • Employee Experience and Recruitment: Assist with initiatives that improve employee experience, including organization or employee events, coordination of Town Halls, and other initiatives for HR and the Executive Team. Support recruitment activity, including interview scheduling and welcoming candidates.
Key Objectives
  • Employee Experience: Provide a responsive and high-quality HR service to the organization, supporting people programs aimed at enhancing employee engagement and organizational culture.
  • Business Insight: Cultivate a thorough understanding of the business, its products, and objectives through ongoing curiosity and continuous learning.
  • Process Centralization: Support the consolidation of operational, compliance, and process-oriented tasks to streamline processes and ensure consistency.
  • Automation and Efficiency: Enhance operational activities by leveraging technology and forging strong partnerships to boost automation, efficiency, and overall optimization.
  • Business Partner Support: Empower the Business Partner function by reducing their operational workload and proactively supporting them with processes, documentation, and support.
Requirements
  • Education: Bachelor's degree in Human Resources, Business, Law, or other related field.
  • Experience: 1 year of proven experience as an HR coordinator or within an administrative position.
  • Skills: Knowledge of human resources processes and best practices, ability to handle data with confidentiality, good understanding of labor laws, excellent organizational and time-management skills, outstanding communication and interpersonal skills, emotionally intelligent team player, and proficiency in MS Office applications.
  • Desirable Requirements: Communication, empathetic, problem-solving, organizational skills, confidentiality, flexible, persistent, experience working in Human Resources in either the US or European, experience working in corporate fast-paced environments, exposure to Employment Law practices in the US or EMEA, experience using HRIS Systems, and ability to be flexible in working hours.
