Role Overview


• Begin your shift by preparing the facility, ensuring that all entry points are accessible and ready for patient interactions, following established protocols.

• Set up consultation areas with necessary materials, ensuring all items are in place according to operational guidelines.

• Secure the premises at the end of the day, adhering to safety protocols and checklists.

• Monitor and document pharmacy fridge temperatures daily, addressing any discrepancies immediately as per established procedures.

• Conduct regular inspections of the facility, maintaining logs and addressing any issues promptly, including safety checks and equipment functionality.

• Act as a Fire Marshal during emergencies or drills, ensuring safety protocols are followed.

• Assist in the reconciliation of appointments at the end of the day.

• Guide patients to the appropriate healthcare professional, ensuring efficient appointment scheduling in line with practice protocols.

• Maintain professional and empathetic communication with patients, addressing their needs and concerns effectively.

• Handle sensitive situations with care, escalating issues to management or clinical staff as necessary.

• Accurately relay messages from patients and healthcare providers, ensuring all communications are documented.

• Process prescription requests and inquiries promptly, adhering to practice protocols.

• Manage various forms of correspondence, ensuring timely responses and proper handling of patient information.

• Ensure the proper collection and documentation of specimens from patients, following health and safety guidelines.

• Uphold data protection and confidentiality standards at all times.

• Regularly update patient information displays, ensuring accuracy and relevance.

• Proactively address patient concerns to prevent escalation into formal complaints.

• Report any complaints or issues to the Practice Manager, following established procedures.

• Facilitate new patient registrations and promote available services.

• Schedule appointments with the clinical team, ensuring patients are directed to the appropriate clinician.

• Manage home visit requests and emergency presentations appropriately.

• Ensure accurate appointment bookings and address any discrepancies in patient records.

• Participate in initiatives aimed at improving patient engagement and quality outcomes.

• Receive deliveries and visitors, adhering to established protocols for sensitive items.

• Maintain daily attendance records for staff.

• Keep a handover diary to ensure smooth communication between shifts.

• Ensure compliance with safeguarding and child protection policies, reporting any concerns immediately.

• Accurately scan, code, and file patient records.

• Perform electronic document management tasks as needed.

• Ensure timely and accurate data entry.

• Handle requests for private services or administrative tasks related to patient care, maintaining thorough records.

• Carry out additional clerical duties as required by the practice.

• Conduct yourself in a manner that promotes safety and well-being for all.

• Adhere to health and safety policies and report any maintenance needs promptly.

• Report any unsafe practices or incidents to management immediately.

• Maintain knowledge of infection control practices and adhere to relevant policies.
