As a specialist training facility, we support a range of healthcare students and trainees, fostering a culture of learning and professional development.Role Overview
• Begin your shift by unlocking the premises and preparing your workspace to handle incoming calls promptly, adhering to established protocols and checklists.
• Set up consultation areas with necessary clinical materials, following specified procedures and guidelines.
• Secure the facility at the end of the day, ensuring all protocols are followed for safety and compliance.
• Monitor and document pharmacy refrigerator temperatures daily, escalating any issues for immediate attention, and maintain cleanliness as required.
• Conduct regular building inspections, documenting findings and addressing any concerns promptly, including checks on emergency equipment and safety measures.
• Act as a Fire Marshal during emergencies or drills as needed.
• Manage the reconciliation of evening appointments.
• Assist patients in navigating their care options, ensuring they are directed to the appropriate healthcare professionals and that appointments are scheduled according to established protocols.
• Engage with patients both over the phone and in person, providing a friendly and professional service.
• Handle sensitive situations with distressed or bereaved patients with care, referring them to a Manager or Clinician when necessary.
• Efficiently relay messages from patients and GPs, ensuring clear communication.
• Process prescription requests and inquiries regarding test results accurately and in a timely manner, following practice protocols.
• Manage all forms of correspondence, ensuring timely responses to emails, letters, and messages.
• Ensure proper handling of prescriptions collected by representatives, and manage uncollected prescriptions according to practice guidelines.
• Receive and process patient specimens in accordance with health and safety policies.
• Uphold data protection and confidentiality standards in all patient interactions.
• Regularly update patient information on noticeboards, ensuring accuracy and safety in displayed materials.
• Proactively address patient concerns to prevent formal complaints.
• Report any complaints or issues to the Practice Manager, adhering to established procedures.
• Facilitate new patient registrations and promote digital services and initiatives.
• Schedule appointments with the clinical team, ensuring patients are matched with the right clinician for their needs.
• Appropriately manage home visit requests and emergency presentations.
• Ensure accurate appointment bookings and review patient records for completeness and accuracy.
• Participate in initiatives that enhance patient engagement and contribute to quality frameworks.
• Manage visitor and delivery protocols, particularly for temperature-sensitive items.
• Ensure daily sign-in and sign-out procedures for all staff.
• Maintain a handover diary to facilitate smooth transitions between shifts.
• Adhere to safeguarding and child protection policies, reporting any concerns immediately.
• Accurately scan, code, and file patient information.
• Complete electronic document management tasks as required.
• Ensure timely and accurate data entry.
• Manage requests for private work or death administration, maintaining thorough records.
• Perform any additional clerical duties as needed by the practice.
• Conduct yourself in a manner that promotes safety for yourself and others.

• Report equipment malfunctions and maintenance needs to the Practice Manager promptly.
