About the Role

Global CTS Recruitment is seeking a highly organized and experienced Executive Assistant to join our team. In this role, you will provide administrative support to our lawyers, utilizing your exceptional organizational and communication skills to deliver a high-quality support service.

Key Responsibilities

• Provide comprehensive administrative support to a high number of fee earners, including diary management, arranging travel and events, and preparing meeting papers

• Work closely with the lawyers to anticipate and consider client needs, ensuring comprehensive notes are available for ongoing items

• Deal with all calls and queries in a professional manner, taking clear and concise messages and ensuring they are dealt with in a timely fashion

• Prepare and distribute agendas, itineraries, and meeting papers, including chasing any pending items to ensure lawyers have adequate time for planning

• Think ahead of lawyer needs to free them up from administration tasks and actively assist with marketing initiatives

• Ensure lawyers' diaries are managed, including organizing and arranging events/travel, ensuring all ancillary arrangements are made, work and activities are scheduled

• Manage and monitor lawyers' inboxes, including for planned and unplanned absence, reducing email volume by responding to emails and filing on-site

• Plan and manage workflow, delegating appropriately, ensuring you are fully aware of the workloads of others, including flexibility to go the extra mile for work to be completed

• Ensure outstanding attention to detail, sense, and quality check all work, identifying quality issues, and addressing problems prior to lawyer review

• Understand and support the end-to-end billing process to assist lawyers
