Job Summary

We are seeking a highly skilled and experienced Senior Personal Assistant to join our team at HR Services and Solutions. As a Senior Personal Assistant, you will provide administrative support to our experienced Client Managers, working closely with the Administration Manager and established team of Administrators.

Key Responsibilities
  • Provide proactive and dedicated assistance to Advisers, including managing their diaries and arranging client meetings.
  • Contact clients by telephone, email, or portal to ensure that the processing of their advice is not held up.
  • Liaise with internal and external stakeholders, such as providers, to chase outstanding requirements.
  • Prepare meeting packs and papers, ensuring they are ready for client appointments and processing new business.
  • Key illustrations, projections, and valuations, and raise invoices where required.
  • Ensure all remuneration records are correct, actively chasing providers and clients where remuneration is outstanding.
  • Comply with the Compliance and Training and Competence Procedures of the Company.
  • Action post in and out, sort, prioritize on receipt, scan, and refer to appropriate advisers as and when applicable within acceptable time scales.
  • Prioritize and action all activity entries allocated for clients, taking into consideration all the work being undertaken for the clients allocated to you.
Requirements
  • Experience of working within a financial services environment.
  • Experience of dealing directly with customers.
  • Experience of being a first point of contact for the adviser.
  • Ability to manage diaries/booking client meetings.
  • Good meet and greet clients/guests skills.
  • Ability to support team members and work as a one-team mentality.
  • Able to manage multiple tasks and activities.
  • Preferred: Knowledge of Curo and Dynamic Planner, oversight and data quality monitoring experience.
