About the Role

We are seeking an experienced Administrative Support Specialist to join our Administration Team based between The Orchards and St Mary's Health Campus in Portsmouth.

Job Summary

This is an excellent opportunity for a skilled administrator to provide high-quality support to our staff, ensuring effective and efficient day-to-day operations. As an Administrative Support Specialist, you will play a vital role in managing clinical diary systems, booking rooms, and patient appointments, as well as resolving queries with clinicians.

Main Responsibilities
  • Clinical diary management, including room bookings and patient appointments
  • Manage appointment bookings, update electronic records, and send appointment letters according to Trust guidelines and targets
  • Ensure referrals are actioned following agreed Mental Health Service procedures, adhering to performance targets and timescales
  • Retrieve and store records from Restore, accurately recording information on progress, destination, and delivery, while supporting colleagues with any issues arising
  • Produce letters, emails, or memoranda using standardized Trust templates, ensuring accurate filing, recording, and distribution
  • Produce accurate minutes and full administration support for various meetings and investigations, including agenda preparation and follow-up of actions
  • Process incoming and outgoing mail, telephone messages, and written communications, distributing them appropriately and in a timely manner, taking responsibility for signposting or dealing with queries regarding issues arising
  • Support the Ward Manager with tasks such as correspondence related to staff and patients, business plans, reviews, and general correspondence, as well as producing in-house leaflets, updates, PowerPoint presentations, and spreadsheets (Excel)
Working with Us

We have been working collaboratively with other local NHS Trusts to create a new organization, bringing together community, mental health, and learning disability services from across Hampshire and the Isle of Wight. Subject to approvals, the aim is for the new Trust to be formed by the end of 2024.

Project Fusion is the name for the programme to create the new combined NHS Foundation Trust. This merger will result in more consistent care, equitable access to services regardless of postcode, and a more sustainable workforce and services. The new organization will operate locally to ensure services can best meet the needs of different communities.

Person Specification

We are looking for candidates with the following qualifications and skills:

  • GCSE grade C/4 in English or a good standard of general education
  • Level 3 Diploma Apprenticeship in Business Administration or relevant experience
Salary Information

The estimated salary for this role is £25,000-£30,000 per annum, depending on experience. We offer a competitive benefits package and opportunities for career development within our organization.
