Job Overview:

We are seeking a talented and experienced Senior Office Coordinator to join our team at Tate Cambridge. As an Executive Support Officer, you will play a crucial role in ensuring the smooth operation of our COO and CPO's offices, handling sensitive information, and managing multiple priorities.

Responsibilities:

  • Manage the calendars for the COO and CPO, scheduling meetings and appointments efficiently.
  • Handle and prioritise correspondence on behalf of the COO and CPO, drafting responses where necessary.
  • Act as the primary point of contact for both the COO and CPO, handling queries professionally and directing them as required.
  • Prepare confidential documents, reports, and presentations.
  • Remind the COO and CPO of key deadlines and important tasks.
  • Organise meetings, including setting agendas, preparing meeting materials, and coordinating logistics.
  • Attend and minute meetings as required, capturing actions accurately and following up.
  • Coordinate regular and ad-hoc meetings for leadership teams.
  • Provide general administrative support to both the COO and CPO, including record-keeping and document management.
  • Administer trust insurance policies.
  • Manage confidential and sensitive information related to operational and HR matters.
  • Assist with projects led by the COO and CPO.

Requirements:

  • Proven experience providing PA support at a senior level.
  • GCSEs in English and Maths (Grades A-C) or equivalent.
  • Familiarity with working in a fast-paced environment.
  • Desirable experience in a school, charity, or similarly regulated environment.

Salary: £30,000 + excellent benefits.
