Job Description:

This Senior Office Coordinator role requires a highly organised and discreet individual to provide executive support to our COO and CPO. The ideal candidate will have experience in managing complex schedules, handling sensitive information, and coordinating logistics for meetings and events.

Key Responsibilities:

  1. Manage the calendars for the COO and CPO, ensuring effective scheduling of meetings and appointments.
  2. Handle and prioritise correspondence on behalf of the COO and CPO, drafting responses where necessary.
  3. Act as the primary point of contact for both the COO and CPO, handling queries professionally and directing them as required.
  4. Prepare confidential documents, reports, and presentations.
  5. Ensure the COO and CPO are reminded of key deadlines and important tasks.
  6. Organise meetings, including setting agendas, preparing meeting materials, and coordinating logistics.
  7. Attend and minute meetings as required, capturing actions accurately and following up.
  8. Coordinate regular and ad-hoc meetings for leadership teams.
  9. Provide general administrative support to both the COO and CPO, including record-keeping and document management.
  10. Administer trust insurance policies.
  11. Manage confidential and sensitive information related to operational and HR matters.
  12. Assist with projects led by the COO and CPO.

Essential Criteria:

  1. Proven experience providing PA support at a senior level.
  2. GCSEs in English and Maths (Grades A-C) or equivalent.
  3. Familiarity with working in a fast-paced environment.
  4. Desirable experience in a school, charity, or similarly regulated environment.
