About the Role

We are seeking a highly skilled and experienced Facilities Administrator to join our team in London. As a key member of our facilities team, you will be responsible for ensuring the smooth operation of our facilities, including reviewing subcontractor records, managing electronic filing systems, and administering subcontractor RAMS.

Key Responsibilities
  • Manage and maintain accurate records of subcontractor performance and compliance
  • Ensure all electronic filing systems are up-to-date and compliant with regulatory requirements
  • Administer subcontractor RAMS and ensure compliance with company policies and procedures
  • Manage and revise PPM schedules to ensure compliance with mandatory and statutory regulations
  • Manage quotations and negotiate with suppliers to ensure best value for the company
  • Develop and maintain a strong understanding of risk and method statements to ensure compliance with company policies and procedures
  • Update the CAFM system to ensure accurate and up-to-date asset and PPM information
  • Liaise with the Communications Manager to develop and implement effective communication strategies to ensure compliance with company policies and procedures
Requirements
  • Minimum of 2 years' experience in a facilities or maintenance role
  • Excellent communication and interpersonal skills
  • Intermediate computer skills in MS Office, including Word and Excel
  • Prior experience with CAFM applications, including Maximo and QFM
  • Strong understanding of reactive and planned maintenance works, including SLAs and KPIs
  • Ability to work in a fast-paced environment and prioritize tasks effectively
  • Strong attention to detail and ability to maintain accurate records
  • Ability to work collaboratively as part of a team
