An exciting opportunity has arisen to join the Anaesthetic Medical Secretary team at East Lancashire Hospitals NHS Trust.
The role of the Anaesthetic Medical Secretary is to provide effective delivery of administration support for a number of Consultants and their associated medical personnel/teams within the Anaesthetic, Critical Care and Acute Pain Directorate.
The post holder will be responsible for managing the rota using the CLW system, ensuring all duties are covered and the system is updated with all changes, rota swaps, leave requests, extra duties, and on-call.
They will also be responsible for attending the weekly scheduling meeting, arranging cover for additional theatre sessions, sickness cover, or changes as they arise.
The post holder will be based at Burnley General Hospital and will be required to work flexibly across the two sites.
Main Duties of the JobThe post holder will be responsible for providing secretarial support to the Directorate, working accurately and methodically, meeting deadlines, and showing attention to detail.
They will also be responsible for developing and managing the rotas for trainees across all areas of the department, including ICU, Obstetrics, Theatre, and on-call.
The post holder will be required to maintain accurate database records for the area within the Directorate and Acute Pain, as well as maintain accurate reporting systems for sickness and ensure the process is implemented and adhered to by the staff within the department.
Person SpecificationThe post holder will require:
- GSCE English at level 4 or above or equivalent level of skills
- Extensive secretarial experience
- Experience in establishing/maintaining robust office systems
- Extensive experience of information technology systems (e.g., Word, Excel, Email, Access, PowerPoint, Outlook)
- Excellent organisational skills/experience in management of self and others
The post holder will require:
- Ability to understand, absorb, and comply with detailed procedures
- Experience of developing and maintaining good working relationships at all levels
- Understanding and commitment to the need for confidentiality
- Excellent communication and interpersonal skills
- Ability to remain calm and work efficiently under pressure with a flexible approach to work
- Takes responsibility for own actions and promotes good team working
