Job Overview

An exciting opportunity has arisen to provide administrative support for the Anaesthetic Medical Secretary team at East Lancashire Hospitals NHS Trust.

The role involves delivering effective administration support for Consultants and their associated medical personnel within the Anaesthetic, Critical Care and Acute Pain Directorate.

The successful candidate will be responsible for providing a personalised confidential administrative support service to the Clinical Director and directorate.

Key responsibilities include managing the daily rota for medical staff, ensuring all duties are covered, and updating the system with changes, rota swaps, leave requests, and extra duties.

The post holder will be based at Burnley General Hospital and will be required to work flexibly across the two sites.

Main Duties of the Job

The successful candidate will be responsible for:

  • Providing secretarial support to the Directorate
  • Managing the rota using the CLW system
  • Attending the weekly scheduling meeting
  • Arranging cover for additional theatre sessions, sickness cover, or changes as they arise
  • Converting data from the database to graph format
  • Typing up coroners reports and any reports as required
  • Typing letters from Pre-Assessment
  • Correspondence as requested by the Consultants and doctors within the department
  • Maintaining accurate database records for the area within the Directorate and Acute Pain
  • Maintaining accurate reporting systems for sickness and ensuring the process is implemented and adhered to by the staff within the department
  • Dealing with telephone and general enquiries
  • Issuing bleeps to new personnel on appointment and rotation of the junior doctors
Person Specification

The ideal candidate will have:

  • GSCE English at level 4 or above or equivalent level of skills
  • Extensive secretarial experience
  • Experience in establishing/maintaining robust office systems
  • Extensive experience of information technology systems
  • Excellent organisational skills/experience in management of self and others
