Job Title: Academic Office Manager

About the Role:

We are seeking a highly organized and detail-oriented Academic Office Manager to join our team at DiSRUPT Recruitment Agency | B Corp. As a key member of our office, you will be responsible for ensuring the smooth operation of our office environment and supporting our employees.

Key Responsibilities:

Office Management:
  1. Manage office supplies, equipment, and mail distribution to ensure a seamless work environment.
  2. Develop and implement office policies and procedures to maintain a high level of efficiency.
  3. Maintain a clean and organized workspace, adhering to health and safety regulations.
  4. Manage office supply inventory and order as needed to avoid stockouts.
  5. Coordinate office equipment purchases and maintenance to minimize downtime.
Health and Safety:
  1. Ensure compliance with health and safety regulations, implementing safety measures to prevent accidents.
Administrative Support:
  1. Coordinate schedules and meetings for executives and team members, ensuring seamless communication.
  2. Answer calls and assist visitors, providing exceptional customer service.
  3. Plan team-building activities and company events to foster a positive work environment.
  4. Arrange logistics for conferences and off-site events, ensuring smooth execution.
  5. Coordinate employee travel arrangements, ensuring timely and efficient travel.
  6. Assist in developing and managing the office budget, ensuring financial transparency.
Employee Onboarding and HR:
  1. Assist in onboarding new employees, ensuring a smooth transition into the team.
  2. Maintain employee records and ensure HR compliance, adhering to company policies.
  3. Handle employee inquiries on HR matters, providing accurate and timely information.

Requirements:

  1. Proven experience as an Office Manager or in a similar administrative role, with a strong understanding of office operations.
  2. Strong organisational and time management skills, with the ability to prioritize tasks effectively.
  3. Excellent communication and interpersonal abilities, with a keen eye for detail.
  4. Proficiency in office software (e.g., MS Office), with knowledge of HR practices and compliance a plus.
  5. Ability to handle multiple tasks and adapt to a dynamic work environment, with a focus on delivering exceptional results.
