Job Title: Operations Administrator

We are seeking an experienced Operations Administrator to join our team at AWD online. As an Operations Administrator, you will play a crucial role in ensuring the smooth operation of our business.

Key Responsibilities:
  • Manage the receipt and verification of goods, ensuring accurate documentation and quality control.
  • Prepare and manage delivery and collection notes, ensuring accurate records for both sender and receiver.
  • Handle returns and off-hires, ensuring proper documentation and condition checks.
  • Generate and analyze financial reports using the COINS software, providing insights into project costs and revenues.
  • Enter and update data in the COINS system, ensuring accuracy and completeness of financial and project-related information.
  • Create invoices for services rendered or goods sold, and follow up on outstanding payments to ensure timely collection of debts.
  • Support the Accounts Department with various tasks, including data entry, reconciliations, and financial reporting.
  • Manage credit accounts, including assessing creditworthiness, setting credit limits, and monitoring outstanding balances.
  • Process customer complaints and Non-Conformance Reports (NCRs), investigating issues and implementing corrective actions.
  • Maintain organized project folders, using a system to track job progress, documentation, and key milestones.
  • Manage the project diary, scheduling tasks, meetings, and deadlines to ensure all project activities are well-coordinated and on track.
  • Arrange accommodation for staff, ensuring bookings are made according to requirements and within budget.
  • Handle incoming calls, providing information, directing calls to the appropriate person, and taking messages as needed.
  • Process claims for lost or damaged goods, coordinating with insurance companies and ensuring proper documentation and resolution.
  • Coordinate the booking of transportation, equipment, and subcontractors for projects, ensuring timely and cost-effective arrangements.
Requirements:
  • Strong attention to detail and basic IT knowledge.
  • Previous credit control and customer service experience is advantageous.
  • Pro-active with the ability to use your own initiative.
  • Excellent written and verbal communication skills.
