Administrative Assistant

We are looking for an Administrative Assistant - HR to join our team at Joule Hot Water Systems Ltd. This part-time role will provide administrative support to the HR Department, ensuring the smooth operation of day-to-day activities.
About the Job:
- This 20 hours per week position will involve various administrative tasks, including scanning, filing, updating electronic systems, and more.
- You will be responsible for producing and issuing legal documents related to employee life cycles, such as contracts of employment and offer letters.
- In this role, you will also manage the HR system, advise others on its use, enter and maintain accurate content, and generate data output for reports.
- Custodian of all HR documents, including policies and procedures, maintaining brand and house format at all times.
- Digital filing, audit HR documentation annually, and implement system changes on the HRIS.
- Maintain HR and employee records, scanning, maintain electronic employee files, general administration, and departmental archiving.
- Ensure the HR intranet pages and SharePoint are regularly updated.
- Participate in ad-hoc projects or procedures to help align the workforce with strategic goals.
- Support recruitment administration, including checking documents & information, placing adverts, organising timetables, coordinating applications, liaising with line managers & supporting shortlisting & interviewing stages.
- Liaison with payroll, maintain payroll information and hours in collaboration with managers.
- Highly computer literate with capability in email, MS Office, and related business and communication tools.
