We are seeking a skilled Resort Facilities and Leasing Coordinator to join our team at Sterling Karamar Property Management. As a key member of our property management team, you will be responsible for maintaining the physical condition of our resort, ensuring high-quality customer service, and efficient operations.

Key Responsibilities
  • Maintain the physical condition of the property, adhering to SKPM standards, including facilities services, repairs, and leasing.
  • Coordinate all maintenance requests, supervising trades and suppliers, and ensuring timely completion of tasks.
  • Manage daily maintenance requests, update status in Property Vista, and issue Purchase Requisitions as necessary.
  • Respond promptly to facility emergencies, submitting Occurrence Reports when required.
  • Investigate repair requests in a timely manner, issuing Purchase Requisitions upon approval from the Property Manager.
  • Conduct daily walk-throughs to ensure the building and its environment are clean and well-maintained.
  • Order building supplies, maintain organized inventory, and ensure effective use of resources.
Cleaning and Grounds Maintenance
  • Thoroughly clean common areas, including lobbies, laundry rooms, washrooms, hallways, staircases, elevator cabs, garbage chutes, and garbage rooms.
  • Clean and polish all windows, doors, trims, baseboards, walls, and floors in common areas.
  • Clean and maintain outdoor grounds, ensuring they are free of litter and pet debris.
  • Maintain indoor/outdoor parking areas, free of litter and pet debris.
Information and Relationship Management
  • Provide information about vacant suites to prospective residents, answering questions in a timely and pleasant manner.
  • Schedule appointments with prospective residents, build relationships, and show vacant suites as directed by the Leasing Agent and Property Manager.
  • Promote tenant retention through effective communication with existing residents and collaboration with the Property Management team.
Leasing and Lease Administration
  • Provide rental application links to prospective residents via Property Vista.
  • Schedule Tenancy Agreement signings with residents and perform move-in inspections.
  • Organize and administer the residential referral program.
  • Record leased units, including vacate dates, lease start dates, and move-in dates.
Rent Collection
  • Collect weekly rent arrears, phoning, emailing, or door knocking as directed.
  • Inspect mechanical rooms, identify safety hazards, and schedule rectification.
  • Identify and report hazardous conditions on sidewalks and driveways during winter, correcting issues and maintaining snow logs.
Requirements

  • Excellent planning and organizational skills.
