Job Overview

We are seeking a highly motivated and organized Administrative Support Officer to join our team at East Lancashire Hospitals NHS Trust. As an Administrative Support Officer, you will play a vital role in providing professional and efficient administrative support to our Intermediate Care Allocation Team (ICAT).

Main Responsibilities
  • Provide proactive and responsive operational support to the ICAT Team, ICAT Manager, and other stakeholders.
  • Input data from hard copy to electronic systems with speed and accuracy.
  • Utilize electronic information systems to ensure data protection and confidentiality.
  • Contribute to the productivity and reporting process, and commit to acting positively on feedback.
  • Develop a good telephone manner when receiving referrals from healthcare professionals and other stakeholders.
  • Ensure accurate information is recorded on the Liquid Logic System for Social Services.
  • Respond to queries and requests for information in a timely and responsive manner.
  • Work within the limits of your competence and responsibility, referring issues beyond your limits to qualified team members.
  • Utilize various electronic systems, including EMIS, Liquid Logic, CERNER, ICE, LAS, STRATA, and email referrals, to record team activity and patient activity in line with deadlines.

Requirements
  • GCSE Maths and English grades 7-4.
  • Proven ability to work on your own initiative without close supervision, while working as part of an integrated team.
  • ECDL or equivalent experience in an office or referral hub environment.
  • IT skills, including experience in the use of Microsoft Excel.
  • Evidence of previous experience of data inputting over an extensive period.
Desirable Criteria
  • Previous experience of Liquid Logic System and EMIS.
  • Evidence of relevant development or training.
  • Experience of EMIS/EPTS/ICE.
  • Knowledge of hospital and/or community processes.
  • Previous experience of processing patient information.

  • Demonstrate confidence to deal with internal departments and external agencies over the phone and face-to-face.
  • Be willing to adapt to the changing needs of the service and unpredictable workload.
  • Develop a professional telephone manner with the ability to document and report messages to senior team members.
  • Proven ability to work in a team, being supportive of team members, understanding your role within the team, and the team's function in the wider organisation.
  • Ability to work rostered hours and have a flexible approach to work, including weekends and Bank Holidays.
