As we continue to expand, we seek a highly organised Front Desk Coordinator to join our team and be the first point of contact for patients, clients, and visitors.

Job Overview:

The Front Desk Coordinator will play a vital role in creating a positive first impression and ensuring the smooth operation of the front desk. Key responsibilities include welcoming visitors, managing appointments, handling enquiries, and providing administrative support.

Key Responsibilities:

  • Front Desk Management: Greet and welcome all visitors and patients with warmth and professionalism, ensuring the reception area is tidy and presents a welcoming atmosphere.
  • Telephone and Email Enquiries: Handle incoming calls, emails, and messages, directing enquiries to the appropriate department or team member and providing information where necessary.
  • Administrative Support: Assist with administrative tasks such as filing, data entry, and preparing documents, supporting other departments with ad hoc tasks as needed.
  • Mail and Deliveries: Sort and distribute incoming mail, handle outgoing correspondence, and manage deliveries.
  • Data Protection and Confidentiality: Ensure compliance with data protection policies and maintain confidentiality with patient and company information.

Requirements:

We are seeking a friendly and efficient Front Desk Coordinator with the following qualifications:

  • Experience: Previous experience in a front desk or receptionist role, ideally within a healthcare or customer service setting.
  • Communication Skills: Excellent verbal and written communication skills, with a warm and professional demeanour.
  • Organisational Skills: Strong organisational skills, with the ability to multitask and prioritise tasks effectively in a busy environment.
  • IT Proficiency: Proficiency in Microsoft Office applications (Word & Excel).
  • Interpersonal Skills: A welcoming and approachable attitude, with the ability to engage with people from diverse backgrounds.
  • Attention to Detail: Strong attention to detail, especially when handling patient information and scheduling appointments.
  • Adaptability: Comfortable working in a fast-paced environment and adapting to changing priorities and demands.
