Order Fulfillment Specialist - Healthcare Sector

Role Overview: The Order Fulfillment Specialist is responsible for maintaining the quality and integrity of order entries.

Key Responsibilities:

  1. Effectively plan and manage the complete process of fulfilling customer contracts from order entry to collection, ensuring all customer needs are satisfied.
  2. Oversee order entry and backlog quality, implementing necessary changes for each project while optimizing sales transfers.
  3. Deliver exceptional service to customers, particularly when addressing inquiries regarding pricing, order status, stock availability, and sales leads.
  4. Monitor the customer fulfillment plan against actual performance to proactively minimize delays in order fulfillment, focusing on on-time delivery optimization.
  5. Ensure validation, compliance, and necessary approvals for orders prior to entry.
  • Maintain and update key dates promptly using local operating mechanisms and reports.
  1. Conduct daily follow-ups on customer credit documentation and inventory management.
  2. Provide shipping and billing instructions in line with contractual terms and conditions.
  3. Track shipments, installations, and applications through reporting.
  4. Address collection issues related to order fulfillment.
  5. Perform root cause analysis on defects.
  6. Coordinate and monitor daily logistics traffic from warehouses.

Required Qualifications:

  1. Experience in project or order management.
  2. Strong administrative capabilities.
  3. Proficient in Microsoft Office applications.
  4. Self-driven with the ability to work independently as well as collaboratively.
  5. Able to juggle multiple tasks and prioritize effectively.
  6. Prior experience in administrative or order management roles.
  7. Customer satisfaction-focused.
  8. Team-oriented.
  9. Ability to navigate systems and work within a matrix environment.
  10. Understanding of the order configuration process (experience with Oracle is a plus).
  11. Excellent verbal and written communication skills.
