Job Summary

This is a full-time, open-ended position at the University of Glasgow. The successful candidate will be responsible for providing administrative support to the Doctoral Training Programme (DTP) team.

Main Responsibilities
  • Financial Management
    • Monitor DTP budgets to ensure no overspend and provide regular updates as required.
    • Produce regular budget reports with detailed financial forecast information and spend profile.
  • Student Recruitment and Selection
    • Lead and manage the student recruitment and selection process of the DTPs.
    • Prepare and advertise studentships, manage applications, and coordinate interviews.
  • Administrative Support
    • Provide administrative support to Principal Investigators (PIs) and other academics.
    • Develop and implement administrative processes to enhance service delivery.
  • Committee Coordination
    • Organize and clerk DTP committees as required.
    • Draft agendas, collate and circulate papers, and take minutes.
  • Event Planning and Delivery
    • Plan, coordinate, and deliver lab rotations, mini projects, DTP training programmes, and other events.
    • Evaluate feedback and review processes for improvement.
  • Student Support
    • Act as first point of contact for student queries.
    • Provide financial aid and assist in resolving student issues and concerns.
  • Programme Handbooks and Reports
    • Create and update programme handbooks for individual DTPs.
    • Research, collate, and edit material for inclusion in reports and documents.
  • Communication and Collaboration
    • Establish a communication network for students, PIs, and supervisors across partner institutions.
    • Lead on induction programmes and events, as well as training content and setup.
  • Compliance and Governance
    • Ensure compliance with University procedures, regulations, and legislation.
    • Influence operational decision-making.
Requirements
  • Knowledge and Qualifications
    • Ability to demonstrate competencies required for the role.
    • Relevant administrative experience in a postgraduate educational setting.
  • Skills
    • Excellent oral and written communication skills.
    • Excellent numeracy and financial management skills.
    • Excellent IT skills and use of bespoke systems.
    • Excellent planning and organizational skills.
    • Able to work proactively, multi-task, and manage tight deadlines.
  • Experience
    • Relevant administrative experience in a postgraduate educational setting.
    • Experience of servicing formal committees and providing high-quality advice.
Terms and Conditions

This post is full-time and open-ended. The salary will be Grade 6, £32,332 - £36,024 per annum. The University of Glasgow has a responsibility to ensure that all employees are eligible to live and work in the UK.
