DP World Australia is recruiting a skilled Facilities Coordinator to join our Regional Head Office in London. As a key member of the team, you will oversee the day-to-day facilities services, ensuring the effective running of the office. Your responsibilities will include coordinating with contractors, managing health and safety risk assessments, and providing legislative advice to managers.

About the Role:

  • You will be responsible for ensuring that all necessary Health & Safety risk assessments are kept up to date and reviewed as required. These include Fire Safety, VDU/DSE, First Aid, Fire Warden, Expectant Mothers, Work Experience & Evacuation procedures.
  • You will assist with the Health and Safety induction of new employees and provide continuous Health & Safety legislative advice to Palace Street Managers for dissemination to staff.
  • You will carry out all 'hands on' health and safety procedures according to legislation, including VDU and manual handling, expectant mothers, work experience and all risk assessments for DP World.
  • You will manage the collection of secure waste and recycling by the external contractor.
  • You will arrange for the disposal of used products and materials in an environmentally sensitive manner in line with WEEE regulations.
  • You will carry out in-house troubleshooting on all of our office equipment, AV and appliances to reduce repair times and call-out costs.
  • You will support the Manager with all office changes and projects, including planning, scheduling of works, and tasks carried out in-house as required.
  • You will ensure all proactive and reactive maintenance is carried out expediently.
  • You will supervise the cleaning contract and staff on a daily basis.
  • You will maintain all fire and emergency equipment, including the evacuation chair, to comply with current legislation.
  • You will control outgoing post and inform Palace Street staff of last post collection times to send external correspondence appropriately.
  • You will ensure stationery stock is readily available for staff at various stationery cupboards and replenish when necessary.
  • You will assist with relationships with lunch providers for staff at Palace Street and make recommendations for improvements.
  • You will take out-of-hours call-out responsibilities when the Office Manager is on leave, such as building power failures, communications room, critical equipment supports etc.

Key Skills and Qualifications:

  • Prior experience in coordinating facilities/maintenance services within a corporate business/office environment
  • A highly motivated individual who can respond to and resolve issues in a timely manner
  • Qualifications such as IOSH/NEBOSH and/or BIFM/WIFM would be beneficial (not essential)
  • A strong personality who can effectively manage outside contracts to ensure work completed to acceptable standards
  • IT literate, diligent professional with excellent communication skills
