The Role:

  • Manage all necessary administrative tasks, including scheduling appointments, handling correspondence, and maintaining accurate records.
  • Provide comprehensive secretarial assistance to our consultants, including typing clinic letters, responding to patient queries, and coordinating referrals.
  • Liaise with patients, carers, and healthcare professionals to ensure seamless communication and care.
  • Work collaboratively with our team to achieve exceptional patient outcomes and experience.

What You'll Do:

  • Handle telephone calls and queries from patients, carers, and healthcare professionals.
  • Respond to and interact with a variety of individuals, including patients, customers, referring physicians, and allied health staff.
  • Liaise with patients and carers throughout the referral pathway and for clinic appointments.
  • Schedule appointments for treatments and clinics, ensuring timely and efficient delivery of care.
  • Deal with correspondence from Consultant Oncologists, patients, and referrers, maintaining accurate records and ensuring prompt responses.
  • Type clinic letters as required, using medical terminology and clinical knowledge to ensure accuracy and clarity.
  • Ensure all letters and follow-up documentation are sent to the appropriate recipients, maintaining confidentiality and adhering to data protection policies.
  • Respond to patient referrals and administer in line with Trust and National policies, ensuring timely and efficient delivery of care.
  • Coordinate and provide administrative support to our teams, ensuring all relevant paperwork and clinical information is available.
  • Update on all enquiries regarding patients' care and/or treatment on a pathway from external Trusts and General Practitioners in a timely manner.
  • Plan and organise centre multi-disciplinary team meetings/huddles, ensuring effective communication and collaboration.
  • Action day-to-day issues, ensuring resolution and escalating serious issues to management as appropriate.

What You'll Have:

  • Excellent verbal and written communication skills, with the ability to interact with patients, carers, and healthcare professionals.
  • Previous experience managing a busy reception area, with a strong understanding of administrative processes and procedures.
  • Experience in a customer-focused environment, with a proven track record of delivering exceptional customer service.
  • Strong relationship-building skills, with the ability to build effective relationships with patients, carers, and healthcare professionals.
  • Experience within a diverse range of administrative roles, with a strong understanding of administrative processes and procedures.

  • Experience of referral triaging and booking processes, with a strong understanding of administrative processes and procedures.
  • Excellent communication and organisational skills, with the ability to work effectively in a fast-paced environment.
  • Professional telephone manner, with the ability to communicate effectively with patients, carers, and healthcare professionals.
  • Ability to work to tight and conflicting deadlines, with a strong understanding of time management and prioritisation techniques.
  • Experience of using Mosaic IT package an advantage, with a strong understanding of administrative processes and procedures.
  • Be proficient in all MS office packages, including Word, Excel, and Outlook, with a strong understanding of administrative processes and procedures.
  • Previously worked within the healthcare sector preferred, with a strong understanding of administrative processes and procedures.
  • RSA audio typing and typing or equivalent keyboard skills, with a strong understanding of administrative processes and procedures.
  • Medical terminology, with a strong understanding of clinical knowledge and procedures.
  • Able to demonstrate experience of working with Microsoft office and databases, with a strong understanding of administrative processes and procedures.
