ROLE OVERVIEW

As a Workplace Assistant, you will play a vital role within the workplace team at our York House facility. Your position will be integral to maintaining a professional and welcoming atmosphere, providing exceptional customer service to all stakeholders. The ability to communicate effectively and work collaboratively is essential, as each day presents unique challenges and opportunities.

KEY RESPONSIBILITIES
  • Manage workplace helpdesk requests, ensuring timely resolution within established Service Level Agreements.
  • Maintain an optimal inventory of office supplies to meet user needs.
  • Serve as the primary contact for ordering stationery and branded materials.
  • Process purchase orders for replenishing office supplies and other necessary items.
  • Oversee the management of incoming and outgoing deliveries and mail distribution.
  • Advise on cost-effective courier options and coordinate logistics for collections and deliveries.
  • Plan and facilitate the movement of items for external staff and customer events.
  • Perform scanning, photocopying, and filing of documents as required.
  • Conduct monthly health and safety inspections of the office, addressing any concerns.
  • Respond to ad hoc inquiries via email and telephone.
  • Ensure cleanliness and organization in the Postroom and Printing areas, removing unnecessary items.
  • Conduct daily floor inspections to identify misplaced or damaged items.
  • Report faults or missing equipment to the relevant helpdesk.
  • Maintain records and proper usage of staff locker facilities.
  • Order DSE equipment as needed.
  • Provide support for furniture arrangements to ensure meeting rooms meet customer requirements, including reconfiguring larger spaces.
  • Act as a liaison for cleaning services and their routine activities.
  • Coordinate with Catering, Tech Service Desk, and Reception teams to ensure timely setup of meeting rooms for events.
  • Assist the Workplace and Facility Manager as needed.
QUALIFICATIONS
  • Proven customer service skills to deliver a five-star experience.
  • Strong interpersonal skills with a proactive approach to working independently.
  • Clear and effective communication skills, both written and verbal.
  • Highly organized with keen attention to detail and the ability to prioritize tasks effectively.
  • Familiarity with Microsoft applications such as Outlook, PowerPoint, Excel, Word, and Teams; training will be provided for specific equipment.
  • Punctual and dependable.
  • Exemplary self-presentation.
