About the Role

We are seeking a highly skilled and experienced Executive Assistant to provide administrative support to our Executive Team. The successful candidate will be responsible for providing a high level of administrative support, including diary management, correspondence, and minute taking.

Key Responsibilities
  • Provide administrative support to the Executive Team, including diary management, correspondence, and minute taking.
  • Manage and maintain accurate and up-to-date records, both paper and electronic.
  • Develop and implement effective administrative systems and procedures to ensure efficient and effective service delivery.
  • Provide a high level of customer service to internal and external stakeholders, including Trust staff, system partners, regulators, and external organisations.
  • Act as a point of contact for the Executive Team, responding to queries and requests in a timely and professional manner.
  • Develop and maintain positive working relationships with the Executive Team, Trust staff, and external stakeholders.
  • Provide administrative support for meetings, including preparation of agendas, minutes, and supporting documentation.
  • Manage and maintain the Executive Team's email and phone systems, ensuring that all correspondence is responded to in a timely and professional manner.
  • Develop and implement effective communication strategies to ensure that all stakeholders are informed and up-to-date on Trust business.
  • Provide administrative support for the Trust's vision to become paperless, including the development and implementation of effective systems and procedures.
Person Specification

We are looking for a highly skilled and experienced Executive Assistant who has:

  • Relevant experience in a similar role, preferably in a healthcare or NHS setting.
  • Excellent organisational and time management skills, with the ability to prioritise tasks and manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with the ability to build and maintain positive working relationships with stakeholders.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Ability to work independently and as part of a team, with a flexible and adaptable approach to work.
  • Relevant qualifications, such as a diploma in business administration or equivalent experience.
