Job Summary

As an Administrative Support Coordinator with the University Hospitals of Leicester NHS Trust, you will provide essential clerical and administrative support to the Respiratory Physiology team. Your primary responsibilities will include booking appointments, managing waiting lists, and liaising with external organizations to ensure seamless communication and efficient data input.

Main Duties

  • Maintain accurate and up-to-date hospital systems with relevant information.
  • Ensure patient records, both paper and electronic, are current and complete.
  • Process requests comprehensively and efficiently.
  • Capture data within 24 hours and ensure its accuracy.
  • Book appointments, clinics, and outcomes as required.
  • Liaise with peripheral hospitals to facilitate smooth communication.
  • Request and return medical records as necessary.
  • Provide non-clinical advice, information, and guidance to patients, carers, and visitors.
  • Prioritize work to meet deadlines and targets.
  • Support the reception team on a rotational basis.
  • Answer incoming phone calls from patients and other providers.

Job Responsibilities

As an Administrative Support Coordinator, you will be responsible for coordinating and booking all referrals received, ensuring accurate input of routine and urgent appointments in line with local and national RTT waiting list guidelines. You will also ensure all local and national standards are applied to referrals, input departmental computerized patient records, and maintain data accuracy. Additionally, you will ensure relevant patient records and documentation are prepared in time for clinics, provide an efficient and helpful service at the reception area, and respond to telephone queries in accordance with directorate and departmental policies.

Essential

  • GCSE level or equivalent, including English Grade C or above.

Experience

Essential

  • Computer skills and experience in using Microsoft Office, customer service skills, and experience in data input.

Planning and Organisation Skills

Essential

  • Ability to work on own initiative but within procedural guidelines, good communication and initiative skills, ability to prioritize workload, and good telephone manner.

Knowledge

Desirable

  • Some knowledge and understanding of RTT.
