Pertemps Scotland is seeking a highly organized and detail-oriented Administrative Support Specialist to provide comprehensive administrative support to a team of fee earners in our Edinburgh office.

The ideal candidate will have strong experience as an Executive Assistant or Personal Support Coordinator, with a proven track record of providing exceptional support to senior-level professionals.

The successful candidate will be responsible for:

  • Producing and editing correspondence, documents, and presentations using Microsoft Office and document management systems.
  • Managing client and matter files, including opening, closing, and conflict checks.
  • Organizing diaries, meetings, room bookings, catering, and IT support.
  • Managing email accounts, including inboxes of absent fee earners.
  • Taking notes and managing attendance for team meetings.
  • Assisting with regular billing, invoice management, and payment tracking.
  • Coordinating travel, hotel bookings, and expense claims.
  • Maintaining and updating client and contact information.
  • Supporting with ad hoc administrative tasks, such as organizing team training and managing document storage.
  • Liaising with internal teams, including Finance, IT, and Marketing, for efficient office operations.
  • Providing additional support to other divisions when required.

The successful candidate will possess:

  • Strong organizational abilities with excellent attention to detail.
  • Prior experience as an Executive Assistant or Personal Support Coordinator.
  • Confidence in using Microsoft Office and document management systems.
  • Experience within the legal sector is advantageous but not essential.
